Welcome to the TU Wien Choir
Some information to get you started
We are delighted to welcome you to the TU Wien Choir. To ensure smooth collaboration and the organisation of ‘choir life’, we require some (personal) data from you, which we will subsequently process. We store and process your data exclusively in accordance with the EU General Data Protection Regulation (GDPR) and the Austrian Data Protection Act, as currently in force.
We would like to provide you with more detailed information on this below. Personal data is referred to simply as ‘data’ in the text that follows.
What data do we process?
- First name and surname
- Email address
- Telephone number used to gain access to our Telegram and/or WhatsApp group
- Group membership on Telegram and/or WhatsApp
- Date of joining
- Year of birth, for statistical purposes and age restrictions in competitions
- Vocal group(s)
- Attendance at rehearsals and performances
- Photos, videos and audio recordings (primarily for public relations purposes)
Your data will only be passed on to third parties to the extent necessary and where required (e.g. for vocal coaching, competitions, performances, and other events).
What is the purpose of the processing?
We process the data for the following purposes:
- Organisation of the choir
- Communication with choir members
- Statistics, chronicle
- Public relations and presentation of the choir’s activities (on the website, social media channels such as Instagram, Facebook, etc., and in print media, annual reports, yearbooks, etc.)
- Honours
When producing and using photographs, videos or audio recordings, we always take care to safeguard your legitimate interests.
What is the legal basis for the processing?
Your data will be processed on the basis of your consent in accordance with Article 6(1)(a) of the GDPR. The provision of the aforementioned data is voluntary, but is required for participation in the TU Wien Choir. By joining, you consent to the processing of your data. Should you choose not to do so, you will unfortunately not be able to participate in the TU Wien Choir.
Where do we store the data?
We use this website, ‘TUWEL’ and the TU Wien Microsoft SharePoint platform for data processing. If you already have a TU Wien account (for example, as a student or member of staff), you will be granted access to these services via that account. If you are not affiliated with TU Wien, we will create an account for you using an email address, which you can provide below.

All the data listed above is stored on servers belonging to TU Wien (TISS, TUWEL). Data on SharePoint is stored on Microsoft servers within the EU and is subject to TU Wien’s data protection policy. The data protection information can be found on the TU Wien SharePoint page. We use only the services listed above to store your data.
With regard to data that you share in the Telegram and/or WhatsApp group, please refer to the privacy policy provided. Please be aware that data transfers to non-EU countries cannot be ruled out when using these channels.
What rights do you have?
You have the following rights:
- Right to access the data being processed
- Right to rectification, erasure or restriction of the processing of your data
- Right to data portability
- Right to withdraw consent to processing, although the lawfulness of the processing remains unaffected until such withdrawal
- Right to lodge a complaint with the data protection authority
A request for the erasure of all data or a withdrawal of your consent will result in the termination of your membership of the choir! Following a request for erasure, your data will subsequently be deleted to the extent technically feasible (particularly with regard to the website and social media channels).
