Scheduling the Meeting:

Once a year, supervisors are required to offer their employees an appraisal interview. The appraisal interview itself is not mandatory. It is up to the employee whether they accept the offer to participate.

Timing: As a leader, inform your team well in advance about the period during which you plan to conduct the appraisals (for example, during the semester break).
As an employee, choose a suitable appointment and coordinate availability with your leader.

Important: Please allow approximately 90 minutes for the appraisal interview to ensure a productive and focused conversation.

Location: As a leader, select a quiet location to hold the appraisal interview.

Tip: It is advisable to ask the employee which room they prefer. You may use your own meeting rooms, reserve additional rooms if needed, or meet in a café or park.

Good preparation is the foundation:

As an employee and direct leader, please take sufficient time (approximately 30 minutes) to read through the structured framework (PDF), opens in new window or the questionnaire (PDF), opens in new window (depending on which document you are working with) and reflect on the key topics covered by the appraisal interview.

Tip:  Need help preparing? The HR Development team is happy to support you — both through internal consulting services and external coaching.
