SÜLT direct import

Data is currently transferred via CSV files – the aim is to transfer the data directly into SAP.

NEW mailings

Revision of the system for mass mailings - includes modifications to list mails and aims to restrict unproductive e-mail dispatch. It should be possible to create lists of recipients automatically – less manual work

Inclusion of lecturers and tutors in SAP

Empowerment study data

Independent data maintenance by various specialist departments must be possible. Check interfaces, workshops and UI adaptations. This particularly concerns the creation of study indicators for co-worker studies

Progress: completed - regular meetings with the academic department on details of data processing for the academic department's processes

TUcard

Logical allocation of TUcard responsibilities. The first step is to allocate student cards to the academic department.

Progress: employee card switchover – transfer of card printing from TU.it to GUT security lodge, implementation of payment workflow for student cards, begin implementation for external persons

Data protection compliance

The individual TISS modules must be checked for compliance with data protection laws and for the necessary preparations for the General Data Protection Regulation of 2018

Progress: Automatic request for information implemented.

PDB Plus - PDB development

Extension of PDB functionalities. Implementation of the requirements from the subject memory of the VR research test group

Progress: draft concept project creation process. New created; interim solution pure research funding/research cooperation has been developed and implemented.

Reference process

TISS is to electronically map and support the reference process. In coordination with the Department of University Development, Quality Management and the Dean's Office for Architecture and Spatial Planning, three features have been identified as being necessary for implementation in TISS: (1) Online application, (2) Online assessment, (3) Reporting on progress of the reference process.

Progress: implementation prototype, evaluation of eRecruiter for the reference process

Refactoring LVA administration

Revision of the code in LVA administration to increase performance and maintainability. Bug fixes and new functions are currently unnecessarily difficult to implement.

Progress: accelerate LVA administration, database modifications, data structures back-end, create logic for LVA & reactivate to back-end, UI modifications, lazy loading

GUT-DMS

The Buildings and Technology Department (GUT) is to use the document management system (DMS) to begin with for the administration of internal documents, such as project documents for construction projects, rental invoices, etc. Alfresco Enterprise is used as the product. Document storage is standardised, which enables more efficient filing and searching.

Progress: move from Community Edition to Enterprise, refinement of the concept in collaboration with GUT, capture of initial workflows, search screen

Research portfolio

In 2015, the TISS research portfolio was implemented as a successor and extension of the TISS performance database. The implementation had to be done for various reasons, which in many places meant compromises regarding planned functionalities. The production system still contains a number of errors in various places or incomplete elements that need to be purged (facelift)

Progress: major troubleshooting and facelift completed, e.g.: uploading of files, standard user interface identifiers, personal profile presentation and research unit profile revised, addition to keyword catalogue more clearly structured

Postgraduate studies

Postgraduate studies is a new course type that is available for enrolment in 2018W. TISS is to be prepared to support this course type.

Progress: preparations for postgraduate studies: creation of study metrics, admission to study, entry of curricula. Test all parts of TISS concerned

Degree ++

Improvements and additional features to better support the Dean's Offices' workflow.

Progress: marking for duplicate assignment of certificates, hide degrees, phased entry of commissions, improvement for printing documents for academic celebrations and closing dates, improve schedule management usability

Publication database

Implementation and design of a new publication database in TISS. Integration of open source software into TU Wien's IT systems

Progress: stakeholder analysis and subsequent requirements analysis and compilation of a draft schedule, begin with implementation

On-boarding

The on-boarding task is currently a collection pool of requirements, for a standard admissions process and information needed for the new employee's admission and start of employment (GUT, Pers Admin, etc.). The OU - internal administration should also be facilitated for existing employees (briefings, PSA, key, etc.). An administration page is planned at OU level (Dept. Inst. FAB, FOB, etc.) where this information can be maintained. The page should include mechanisms with auto-notification (new employee needs PSA)
