Target groups and their training at TU Wien

Objective

The standard training courses at TU Wien are designed to provide all new employees with the necessary knowledge, skills and abilities that are important for our company right from the start of their employment. At the same time, they are intended to ensure that all employees have the same level of knowledge, thereby creating a common knowledge base. In addition, the training courses serve to convey the values and attitudes of TU Wien and strengthen the university's culture. Completing the specified training courses also protects TU Wien in legal and safety-related matters.

If employees do not fulfill their training obligations, appropriate measures can be taken.

Implementation of the directive began as part of a pilot phase on 1 October 2024. University-wide implementation has been in place since mid-May 2026.


Target groups
 

General target groups:

  • Employees with more than 6 months of service / 10 hours
    This refers to all employees who have a formal employment relationship with TU Wien, with a contract lasting longer than 6 months and involving more than 10 hours of work per week.
  • New employees with contracts of 6 months or more / 10 hours per week (starting October 1, 2025):
    For this group, training on the following topics must be completed

    • Introduction to TU – TU Intro
    • Legal, Financial, and Compliance Matters
    • Information Security
    • Data Protection
    • TU IT Tools
    • AI Training

    within the first 4 weeks.

  • Temporary employees or employees employed on a small scale:
    This refers to all employees who are employed by TU Wien for up to and including 6 months and up to and including 10 hours per week. Training sessions on information security and AI are required for this group.


Special target groups:

  • Teaching staff with the exception of lecturers
    New faculty members are defined as those who joined TU Wien after January 31, 2024. This group is required to complete a 16-hour basic course in university teaching methods within the first 12 months of starting their position.
  • Commercial/administrative staff:
    Librarianship, bookkeeping, accounting and controlling, HR (human resources), marketing/design/PR, project management, legal, clerical and administration (commercial), secretarial/administration, other commercial/administrative staff
  • Technical staff:
    Chemistry/laboratory/workshop, development/programming, IT system administration, IT - other, building technology/security technology, project management (technical), other technical personnel
  • Staff in research projects: 
    Research project leaders as well as scientific and general staff employed in research projects.
  • Apprentices and interns
  • Leaders/Heads (without project managers)
    This target group must complete the training courses on compliance and HR management tools within the first month or upon the launch of ines.
  • Specialists responsible for and users of special IT applications
  • Scientific and artistic staff

    Attention

    The mandatory content for specific target groups must be completed in addition to the content required for general target groups.
    It is possible to belong to multiple target groups; in such cases, several or all of the following modules from the respective groups may need to be completed.

Measures in case of non-compliance

If monitoring reveals that mandatory training has not (yet) been completed, the following measures will be taken:

  • If the deadlines specified in Section 4 of the guideline are exceeded, the employee will receive a reminder via email and be asked to complete the training. An automatic 4-week extension will take effect. No further action is required for employees on temporary or part-time contracts.

The following applies to all other employees: If the training is not completed within this grace period, the immediate supervisor will be notified. The immediate supervisor may extend the deadline once by an additional 4 weeks if there is a valid reason.

  • If there is no valid reason or if the training is not completed within the grace period granted by the immediate supervisor, HR People & Service will be informed.
  • The employee will receive a written warning, requesting that they complete the training.

In the event of persistent, continued refusal, TU Wien reserves the right to initiate further disciplinary action.

Implementation

Making the offers and resources available

The training programs for all employees are provided by TU Wien as e-learning courses in German and English that can be completed at any time and from any location; the university also provides the necessary work time for completing the training. The mandatory training programs for new faculty members are designed as in-person sessions and are offered in that format. TU Wien provides employees with the necessary work time to complete the mandatory training.

Information

All mandatory training courses are available to employees on TU Wien’s e-learning platform, ines, opens an external URL in a new window, which opens an external URL in a new window. Employees are informed about the available courses and TU Wien’s expectations.

The systems in use allow for monitoring of course completion by employees and for informing their immediate supervisors, in order to achieve the goal of this guideline and to be able to remind employees, if necessary, to complete the mandatory training.
